Attendee badges are a great way to simplify networking at your event. Badges can be customized to fit various cohorts during your event with both color and title. Here are Some example badges:

Attendee badges contain names, title, organization, and a special QR code on the front. These QR codes contain contact information that anyone can scan with their phone to add that attendee to their contacts like a virtual business card for networking.

Although not required, the back of each badge can be printed with a randomly generated barcode. This barcode can be activated for that particular attendee when checking in to link it to their record. It can then be used throughout the rest of your event to track attendance at events by scanning badges using a mobile phone or laptop when attendee enters or exits a session.

Determining which attendees have which badges

You can manually set each attendees badge from the attendees tab, or by opening up an attendee.

Alternatively, prior to selling tickets you can set the badge type automatically on each ticket type you sell.

Both of these options require that badges exist in your event first.

Scanning Badges

Scanning in will keep track of attendance. You can optionally also scan attendees out when they leave (and return) to generate reports of how much time was actually spent in a session.

To track attendance at sessions, you can use one of 2 methods:

  1. Mobile App
    1. Download the PYLI mobile app from your mobile app store. (This is different from the PYLI Events app).
    2. Admins of an event can log in and open that event.
    3. From there they can select the session to scan attendees for
    4. Select the direction of scan (in or out)
    5. Scan attendee badges using the phone's camera
  2. Laptop
    1. This method requires any keyboard based hardware 2D barcode scanner. Please contact us if you need to rent one for your event.
    2. Plug the scanner into the laptop you plan to use
    3. Visit the "Scan In" tab from your event
    4. Select the session you would like to scan in or out of
    5. Select the direction for scanning
    6. Scan attendee badges using the attached hardware scanner

Printing Rear Badge Codes

Rear badge codes can be used for tracking attendance at events. When printing them out, you don't have to keep track of which attendee gets which barcode because they are randomly generated. The barcode can later be associated with that particular attendee by scanning it at check in (see Activating Attendee Badge Barcodes below).

To print pages of rear badge codes:

  1. Obtain Avery 5392 template badges from any office supply store
  2. Visit the badges tab of your event
  3. click the orange "Print Rear Badge Codes" button
  4. Select the number of pages you would like to print (remember it doesn't matter which attendee has which barcode at this step)
  5. Click the red "Print Rear Badge Codes" button to confirm the number, and a new page will open with your barcodes ready to print
  6. Load the badge templates into your printer so they will print on the back side, reserving the front for the attendee's name and other info to be printed (this can be done before or after this point)
  7. Be sure to set your print margins to 0 before printing

Printing Front Badges

To print ALL attendee badges:

  1. Obtain Avery 5392 template badges from any office supply store
  2. Visit the badges tab of your event
  3. click the orange "Print All Attendee Badges" button and a new page will open with your barcodes ready to print
  4. Load the badge templates into your printer so they will print on the front side, reserving the back for the attendee's badge barcode to be printed (This is optional, and can be done before or after this point)
  5. Be sure to set your print margins to 0 before printing
  6. Please Note that printing all badges will not mark any of them as printed for the purposes of keeping track.

Activating Attendee Badge Barcodes

Activating a badge barcode lets that particular attendee use that barcode for scanning into sessions. Before activation, this barcode is not connected to any attendee.

To activate a badge barcode for an attendee:

  1. Open that attendee under the attendees tab
  2. Click the orange "Activate Badge" button
  3. Scan (using a USB hardware scanner) or enter the barcode you want to associate with that attendee from the back of their attendee badge.
  4. The status of the attendee should now show the ID as activated.
