When your attendees first arrive you may want to set up a check in table. This can help run things like:
- Pick up and activation of printed attendee badges
- Pick up any pre-ordered add-ons (e.g. t-shirts)
- Mark off attendee as present
- Confirmation/correction of attendee registration information
- Assistance with linking ticket information with the PYLI Events companion mobile app (if equipped)
All of these items can be accomplished easily via the Attendee Console for your event. This document outlines some of the common ways you can interact with the console.
Opening the attendee console and finding an attendee:
- Navigate to your event in PYLI
- Click Attendees
- Select an attendee to open or search by name, e-mail, phone number, order confirmation code, ticket number.
- Alternatively, If you have a standard USB desktop barcode scanner you can scan any PYLI Events barcode to automatically navigate to the appropriate attendee.
Quick attendee status:
At a glance this panel lets you see it attendee was checked in to the overall event, their badge was printed, and if their badge was activated.
Checking in an attendee:
Click the green check in button at the top right.
The quick status screen should now indicate checked in and the time, and the check in button should no longer be available.
Updating attendee information:
On the bottom right side there is an Attendee Information box. Simply click on the item you wish to update and it will become editable. To save click the checkmark, to cancel click the close icon.
Activating a badge barcode:
Click the orange Activate Badge button on the top right.
Scan or enter the badge barcode ID
The badge ID should now appear on the quick status panel.
This attendee should now be able to use their badge barcode anywhere their ticket barcode was already accepted (e.g. checking into sessions). The ticket barcode will continue to work too unless voided.
Viewing Order Information
You can view information about a person's purchase, including links to other attendees as part of that same purchase, anytime by clicking the blue "Open Order Info" button.
This can be useful if you want to quickly jump to other attendees that were part of the same purchase.
Clicking the blue links will allow you to quickly jump to that particular attendee's attendee record. this can be particularly useful if a group of attendees on the same reservation are all checking in at the same time.
Voiding/Reactivating a ticket barcode
To disable a ticket barcode you can click "Void Ticket Barcode" at the top. Voiding a ticket barcode will prevent it from being accepted anywhere else within the platform, for example during session check in. This can be useful in the case of refunds on tickets, for example.
Once voided, you should see the void status show up above the ticket information. If you wish to reactivate it you can click "Reactivate" in the red box. Ticket barcodes can be freely voided and reactivated anytime.
Marking off picked up add-on items
PYLI can automatically keep track of which items were picked up by attendees, what time this occurred, and who marked the items as picked up. This is useful for times when you have different people running T-shirt pickup stations, or when attendees pick up items at different times or locations.
You will see the purchased add-ons in the center section below their ticket information.
Clicking "Mark Received" will record the time it was marked off, and the status will be indicated here. If you make a mistake you can click undo. The attendee timeline will also reflect the change.
